IT Software Manager

The Norfolk office of Kaufman & Canoles is seeking an IT Software Manager. The IT Software Manager provides application support to the operation of the firm. This position is responsible for evaluating, maintaining, and enhancing, and supporting software application packages in use on the network.

RESPONSIBILITIES:

  • Provides enhancement to firm procedures through automation and customization of applications to firm's needs.
  • Provides task-specific suggestions and support to users in connection with facilitating departmental or positional procedures by implementing updated software applications.
  • Evaluates and provides recommendations regarding purchase of new software. Tests compatibility of software packages with network configuration and existing software.
  • Researches application issues and updates through legal IT communities, the Internet, and other information sources.
  • Performs continuous searches for software, support, or application advice that would enhance network or user performance.
  • Assists with maintenance of network.
  • Assists department with special projects as assigned.
  • Provide additional support for Help Desk calls as needed.

QUALIFICATIONS:

  • Technical knowledge of personal computers and software as normally acquired through technical course work or equivalent experience.
  • Expert technical skills and ability to operate and support large data processing operations, including advanced knowledge of hardware, operating systems, DBMSs, spreadsheets, word processing, and communications packages currently in use, specifically the Microsoft Office Suite.
  • Advanced knowledge of and familiarity with VBA and scripting languages.
  • Maintenance of Active Directory Account.
  • Maintenance and creation of group policies.
  • Knowledge of SQL Server, including queries, SQL Server Agent jobs, database maintenance.
  • Knowledge of Elite 3E, including Elite Design Gallery.
  • Knowledge of Document Management System, specifically iManage.
  • Office template and numbering packages, specifically BigHand Create and Hyperstyles.
  • Interpersonal skills necessary to assist staff and attorneys and train users on system operations and to communicate by phone and provide information with ordinary courtesy and tact.
  • Ability to recognize and solve routine problems, including data entry errors, hardware failures, and policy adherence problems.

The firm is currently seeking a qualified Systems Engineer to be based in our Norfolk headquarters. This position is responsible for maintaining the Information Technology department systems including workstations, servers, backup systems, phone systems, and associated peripherals and applications.

RESPONSIBILITIES:

  • Provide end-user support for hardware, peripherals, and software including MS Office suite applications (Word, Excel, Access, PowerPoint), Adobe, third-party software, and web applications.
  • Configure, install, and maintain hardware and software for VMWare environment, Windows 10 desktops/laptops, and peripherals.
  • Plans and conducts updates, upgrades, and maintenance on Windows Server 2012/2016 servers.
  • Manage and maintain network backup systems, software, and phone systems.
  • Provide after-hours coverage for end-user support on a scheduled, rotating basis.
  • Travel to the six office locations (Chesapeake, Hampton, Newport News, Richmond, Virginia Beach, and Williamsburg) is necessary at least 15% of the time for maintenance of hardware/software.

QUALIFICATIONS:

  • 5 or more years’ experience in information systems and technology.
  • Bachelor’s Degree in an IT or business related field is preferred.
  • Law firm or professional services experience is beneficial.
  • MCSA, Network+, CCNA certifications a plus.
  • Knowledge of all of the following systems is preferred: MS Office 2016, internet browsers, Adobe, LAN/WAN networking, enterprise WiFi, VMWare, storage technologies, Windows 2012/2016 servers, Windows 10 desktops/laptops, printers, scanners, and copiers.
  • Ability to work after hours.
  • Must have own transportation for occasional travel for firm business.

The Norfolk office of Kaufman & Canoles is seeking a Time & Billing Clerk. Candidates should be proficient in Microsoft Office 2016, have exceptional organizational skills, excellent communication and writing skills, and exhibit meticulous attention to detail. The position requires someone who is able to work well as part of a team and who can also stay motivated while working independently.

RESPONSIBILITIES:

  • Generate and distribute pre-bills.
  • Review and edit pre-bills in response to attorney and paralegal requests.
  • Send client invoices.
  • Review and verify accuracy of billing and supporting documentation.
  • Research and respond to inquiries regarding billing issues and problems.
  • Post expenses to accounts.
  • Filing with organization.
  • Effectively interact and communicate with attorneys, paralegals and clients.
  • Observe strict confidentiality of all client and firm matters.
  • Work closely with the employees in the Accounting department.

Time & Billing Clerk

Security & Endpoint Computing Administrator

Kaufman & Canoles is seeking a qualified Security & Endpoint Computing Administrator for our Norfolk office. The Security & Endpoint Computing Administrator maintains the Firm’s technology hardware fleet and other assets including but not limited to: data, software, hardware, processes, and culture. Technology hardware fleet and other assets will be protected by proper focus on the three principle tenets of security: confidentiality, integrity, availability. The Security & Endpoint Computing Administrator will define processes and will work with IT Management to establish and enact protocols and processes ensuring high standards of user experience and security for Firm and client data. The Security & Endpoint Computing Administrator will be responsible for development and maintenance of gold-standard image, deployment of packages and updates to address security problems and vulnerabilities.

RESPONSIBILITIES:

Endpoint Management

  • Responsible for overall design, maintenance and implementation of the Firm’s computer network, specifically the end user devices (computers, mobile data devices, remote access tools).
  • Reviews network functioning, procedures and documentation.
  • Designs and implements Firms equipment naming conventions among network enabled equipment.
  • Identifies and plans future system and infrastructure application upgrades, migrations and deployments.
  • Assists in resolving networking problems and answers technical questions.
  • Performs ongoing reviews on network security and performance.
  • Participates in long range planning and disaster recovery.
  • Establishes procedures for maintaining reasonable goals for service delivery including rapid response time and quality of work.
  • Knows and understands end user equipment (computers and mobile data devices) Cisco equipment, Microsoft Exchange, Microsoft Server technology, SQL, Backup software and routines, existing and emerging LAN, WLAN and WAN technologies, Citrix.
  • Supports LAN and WAN needs of user base, including remote and mobile users.
  • Readies and implements whole-network changes through change management processes.
  • Coordinates and participates in 24 x 7 response to any issues related to network operability in order to keep critical systems running or to minimize down-time.

Security Administration

  • Monitors network for activities that may be considered a risk to the Firm’s technical environment or data contained therein.
  • Establishes plan to maintain availability of systems at satisfactory levels ongoing.
  • Works with Help Desk Manager and CIO and other management to establish and enforce policies and procedures in the areas of network access, remote connectivity, use of Firm-owned and user-owned equipment, and the use of technology resources.
  • Responsible for monitoring standard user access and superuser access to Firm’s technical resources.
  • Establishes and maintains reports and reporting processes for superuser network access.
  • Implements, maintains and monitors security and system performance tools supporting confidentiality, integrity, and availability of Firm’s resources.

Technology Services Support Center

  • Fills in for Help Desk Manager as needed to maintain coverage.
  • Answers Support Center phones, providing support to the user base on a timely basis.
  • Effectively conveys technical instructions to non-technical users.
  • Log problems into the ticket management system from live calls, the email, and voice mail systems.
  • Maintains current knowledge of standard supported technology.
  • Proactively seeks information to increase knowledge with the assistance of other Support Center Technicians and User Services Manager.
  • Identifies the nature of user problems, any loss of service, their impact to the user and the user’s expectations/needs for a resolution.
  • Reports any complex situations to the appropriate Technology Services Manager.
  • Suggests ideas for improving the user relationship. Recognize changing user needs and suggest appropriate action.
  • Assists in the maintenance of Support Center documentation and ticket management system. Verify accuracy and completeness of documentation.

QUALIFICATIONS:

  • Five (5) or more years of progressive experience with technology solutions/applications and processes.
  • Five (5) or more years’ experience in Windows Server, Active Directory 200-2008, Windows XP and IP Networks.
  • MCSE, MCSA, A+ Certifications and other certificates a plus.
  • Excellent customer and interdepartmental relationship skills.
  • Experience in Web technologies; application environments.
  • Ability to work in fast-paced, deadline driven environment.
  • Legal experience a plus.

Part-Time Real Estate Assistant

The Chesapeake office of Kaufman & Canoles is seeking a part-time Real Estate Assistant. Under general supervision provides general office support with a variety of administrative and related tasks. Responsible for answering incoming calls, directing calls to the appropriate personnel, setting up and cleaning conference rooms, kitchen organization and cleaning, supply inventory and stocking, processing outgoing postal mail, sorting inter-office and incoming postal mail, submitting check requests, accepting payments from clients, supporting the Legal Assistants and Attorneys with various task such as time sheets, pleading indexes, folder labels, copies/prints and other duties as assigned. Maintains positive contact with attorneys, support staff and clients; observes confidentiality of client and firm matters. Candidates should be proficient in Microsoft Office 2016, have excellent communication and writing skills and exhibit attention to detail.

RESPONSIBILITIES:

  • Interacts with the clients via telephone, email and in person
  • Operates standard office equipment, including personal computer, copier, scanner, and telephone

  • Arranges and schedules client appointments using KCI Reservation
